Importers first confirm Annex I scope and that they act as the operator for each process flow. They collect plot-level geolocation and production/harvest dates, then assess deforestation and legality risks. Any non-negligible risks need to be mitigated before placement. They submit a Due Diligence Statement (DDS) in TRACES prior to placing the good on the market and retain all evidence for audits for at least five years. In addition, they are obligated to share DDS reference numbers with their customers.

The EU’s TRACES Information System is mandatory for DDS submission and reference sharing. Companies typically pair it with a due-diligence/traceability platform (e.g., osapiens HUB) to onboard suppliers, capture geodata, conduct EUDR compliant risk assessments, and automate DDS workflows. Geospatial analytics tools such as the osapiens HUB for EUDR support deforestation checks. Secure document repositories and ERP integrations ensure auditable records and efficient data flow.

Standard internal tools rarely meet the EUDR’s stringent requirements. The osapiens HUB for EUDR conducts documented deforestation and legality risk assessments for every in - scope plot and transaction, validating outcomes with geospatial evidence to confirm products are deforestation - free. It also maintains a complete audit trail linking products to plots, suppliers, dates, and DDS reference numbers, with records retained for at least five years. Because the EUDR continues to evolve, companies need ongoing monitoring to ensure they remain compliant with the latest requirements. To support this, the osapiens HUB for EUDR was co-developed with leading legal experts.

According to the EUDR, all market participants and traders who place the following goods on the EU market or export them from the EU must equally prove that their products do not come from recently deforested areas or have contributed to forest degradation: soy, cattle, palm oil, wood, cocoa, coffee, rubber, and some of their derived products, such as leather, chocolate, tires, or furniture. The EUDR aims to ensure that the products consumed by EU citizens do not contribute to global deforestation or forest degradation. The main goal is to stop the expansion of agricultural land for the production of the aforementioned products.

The EUDR requires that any company dealing in one or more of the seven products listed, importing to or exporting from the EU - and there is a possibility that more products may be added to the list after a review by the EU - must prove that their products are deforestation-free and produced in compliance with the laws of the producing country. Various aspects such as land use, labor and human rights will be considered. In addition, companies are required to submit a Due Diligence Statement for their products. This obligation applies regardless of whether the company is from the EU and covers both legal and illegal deforestation within and outside the EU.

The EUDR provides clear sanctions for violations, including fines of up to 4% of a company's annual EU turnover. In addition, the product concerned, or the proceeds of a related transaction may be confiscated. Other sanctions include temporary exclusion from public tenders and access to public funds, temporary prohibition from placing, supplying or exporting the relevant goods or products, and prohibition from using the simplified due diligence procedure.

The competent authorities of each Member State check the due diligence statement and related documents before customs clearance. The likelihood of an inspection depends on the risk that the goods do not comply with the regulations. In Germany, the Federal Agency for Agriculture and Food (Bundesanstalt für Landwirtschaft und Ernährung, BLE) has already been designated as the "competent authority" for the implementation of the Regulation.
